Veterinary Assistant

Position Overview:

The purpose of the Veterinary Assistant position is to provide outstanding service and support to clinic operations and the medical team. The Veterinary Assistant will be responsible for performing administrative tasks, assisting veterinary staff in examining and monitoring animal patients, and maintaining clean and sanitary conditions in exam and surgical rooms. The position is a member of the Vet Tech team and is supervised by the Lead Veterinarian Technician and Practice Manager.

Client Relations:

  • Follows established hospital guidelines for communicating with clients both in-person, by phone, and electronically.
  • Assists front-office staff in answering phones and scheduling appointments as necessary.
  • Correctly perform client callbacks and follow-ups.
  • Field questions regarding services and products, does not answer questions outside of training or capabilities.
  • Admits and discharges patience according to clinic procedures and doctor’s orders.
  • Generates detailed and accurate estimates for patient services.
  • Patient Care:

  • Adheres to all clinic risk management and safety policies, reports incidents and concerns in a timely manner.
  • Restrains pets in a safe, compassionate, efficient manner.
  • Relays all necessary information to the veterinarians and technicians.
  • Triages urgent-care patients and communicates with the medical team as appropriate.
  • Assists with patient surgeries, dental procedures, radiographs, and therapies as directed to by supervisors.
  • Properly documents patient treatment plans.
  • Properly administers and documents the delivery of medications and prescriptions to patients and clients.
  • Properly collects and performs lab procedures.
  • Facility Maintenance:

  • Assists with cleaning and restocking all clinic examine rooms, surgical rooms, and shared staff areas.
  • Performs kennel cleaning and sanitation duties.
  • Washes laundry and pet dishes regularly and as needed.
  • Properly sets-up and cleans all dental and surgical areas.
  • Properly cares for and maintains surgical equipment.
  • Properly operates and maintains underwater treadmill.
  • Follow protocols for receiving and requesting inventory.
  • Recordkeeping and Filing:

  • Properly logs all conversations with clients in patient Medical Condition Record.
  • Properly record patient vital signs into Medical Condition Record.
  • Assists Veterinarians and Veterinarian Technicians with Medical Condition Record updates and maintenance.
  • Properly enter charges into the Avimark system.
  • Minimum Qualifications:

Client Service Representative

Position Overview:

The purpose of the Client Service Representative (CSR) position is to provide outstanding client service. The CSR answers the phone, differentiates between routine and emergency cases, schedules appointments, greets clients, admits and checks out patients, processes payments, manages financial information, and communicates information between clients and staff.The CSR enjoys working with people and diverse clients and is caring, friendly, and efficient. The position is a member of the CSR team and is supervised by the Lead CSR and Practice Manager.

Client Relations:

  • Follows established hospital guidelines for communicating with clients both in-person, by phone, and electronically.
  • Handles basic questions regarding hospital services, fees, and animal care; appropriately directs questions to others.
  • Communicates with clients as needed regarding invoices and the medical status of their pets.
  • Monitors appointment schedule and communicates with clients about wait times.
  • Schedules appointments to meet the clients’ needs and most efficiently use veterinarians’ and staff members’ time.
  • Maintains current client contact information.
  • Patient Admittance & Discharge:

  • Retrieves client records and forms in advance of clients’ arrival, obtains medical and vaccination histories from the client.
  • Relays all necessary information to the veterinarians and technicians.
  • Triages urgent-care patients and communicates with the medical team as appropriate.
  • Enters all charges into the computer and double-checks entries against the patient visit form or tracking form.
  • Reviews discharge instructions, medications, and services rendered, and informs client of the total amount due.
  • Accepts payments from the client. Accurately processes cash, checks, charge card payments, credit account payments.
  • Schedules discharge and follow-up appointments.
  • Facility Maintenance:

  • Assists with cleaning and straightening the public areas of the practice, including the front desk, reception area, client restrooms, and exam rooms.
  • Restocks and arranges retail and point-of-purchase displays.
  • Maintains and replenishes refreshment area.
  • Opens the practice and sets up for the morning as directed.
  • Closes the practice for the evening as directed.
  • Recordkeeping and Filing:

  • Retrieves and re-files medical records accurately and promptly.
  • Purges inactive files as directed.
  • Updates client files and patient records as needed.
  • Scans medical documents.
  • Faxes medical records to requesters, with client’s permission.
  • Processes returned mail/postcards. Contacts client to verify and correct contact information.

Veterinarian

Position Overview:

The purpose of the Associate Veterinarian is to provide a full range of professional veterinary duties, including but not limited to diagnosis, treatment, and surgery. The Associate Veterinarian is expected to operate autonomously within a team environment, and considerable independent judgment will be used to make decisions in carrying out assignments. The position is a member of the Medical Team and will work closely with the Management Team and Veterinary Technicians. The Associate Veterinarian reports directly to the Ownership Team and Practice Manager.

Patient Care:

  • Perform routine medical examination.,
  • Selects appropriate diagnostic procedures, and establishes appropriate therapeutic protocols.
  • Performs routine and specialized surgeries.
  • Recommends and uses medically appropriate laboratory testing to assist in establishing diagnosis.
  • Possesses knowledge to interpret these tests properly.
  • Establishes thorough and accurate treatment plans.
  • Treats animals humanely, and shows compassion and concern for patient well-being.
  • Client Relations:
